CRM Data Cleanup & Import Preparation

A CRM your team can navigate and maintain.

I help prepare CRM records by reviewing field mappings, duplicate decisions, status values and missing information. The handover shows which records are ready for review and which need clarification before an import.

Start with your task

What you can hand over.

Examples of work we can scope together. The source material and intended result determine the approach.

Prepare a CRM import

Map spreadsheet fields, review duplicates and check required values against the destination system.

At handover An import-ready working file, field map, exceptions and review checklist.

Contacts and next actions

Organize tags, stages, owners and follow-up dates using agreed conventions in a supported CRM.

At handover Reviewed records and a handover identifying the next action and unresolved information.

Maintain the routine

Scope recurring updates and reporting in tools such as HubSpot, Salesforce, Zoho or Pipedrive after checking the task and access.

At handover An update log and documented routine. No platform certification or custom integration is implied.

A useful fit

What the work includes.

For businesses preparing an import, reviewing contacts, organizing a pipeline, or defining a manageable routine for ongoing updates.

  • Field mapping, contact organization, and duplicate-review notes.
  • Agreed pipeline stages, required fields, and next-action conventions.
  • Import preparation, a review checklist, and handover documentation.

Scope boundaries

Platform capabilities and access determine the final scope. Migrations, maintenance, and integrations are separate work items. A backup, sample review, and reconciliation plan are needed before a real migration.

Inspect the workflow

Self-initiated demonstrations with synthetic data, created to make the process and deliverables inspectable.

A clear starting point

What to include in your brief.

  • Your CRM, current structure, and the task to complete.
  • A safe sample or field inventory; access is agreed separately.
  • Required stages, ownership rules, and decisions needing approval.

Start with a description. Please don’t send passwords, tokens, private contact lists, or full client datasets through the enquiry form.

From brief to handover

How we can approach it.

  1. Review the current fields, stages, and requirements.
  2. Agree mapping rules and review a safe sample.
  3. Complete the approved organization or import preparation.
  4. Check requirements and hand over maintenance notes.

Useful to know

Before you send the brief.

Can you work with my existing CRM?

Name the platform and task in your brief. I’ll confirm the supported scope and necessary permissions before starting; support is not a claim of certification in every platform.

Does this include a full migration?

A migration needs its own scope, backup plan, sample import, and reconciliation checks. It is not automatically included in a cleanup task.

Can you help keep records up to date?

Ongoing maintenance can be discussed around a defined workload, communication cadence, and access. Availability and responsibilities are confirmed in the scope.
